AI consulting · South Florida, Denmark and remote

# AI that actually helps your team. Set up safely, explained in plain language.

I find the 3 to 5 places where AI can save real time, set up the right tools with your company data protected, and train your team on their own work. Remote, or on-site in South Florida when being in the room helps. No hype, no generic course.

## Everyone says "use AI". Nobody shows you how.

You have probably heard that AI will change how your business works. Maybe a few people on your team already use ChatGPT on their personal accounts. Maybe someone took an online course and came back with a list of prompts nobody uses.

Meanwhile the real questions stay open:

- →Where would AI actually save us time, in our work, with our clients?
- →Which tool should we pay for, and which ones can we ignore?
- →Is it OK to paste client files, contracts or recipes into a chatbot?
- →How do we get the whole team using it, not just the one enthusiast?

That gap between "AI is everywhere" and "AI is useful here, today" is what I fix.

## How I work with you

Lars Koudal · Hollywood, FL

You want less busywork and more time for the work only your people can do. You do not want to become an AI researcher to get there. I look at how your team really works, pick a few changes that matter, set them up properly and stay until people are comfortable using them.

I build AI into my own products every day, including APIs and MCP servers that connect AI assistants to real business data. So this is hands-on work, not a slide deck about the future.

## How it works

1. 1

    ### I learn how you actually work

I visit or meet the team to see how they work (in person in South Florida, online elsewhere). I look at the tasks that eat the most time (emails, proposals, quotes, reports, menus, document review, scheduling, follow-ups) and find **3 to 5 concrete areas** where AI can help. You get a short, plain-English plan. No 60-page report.

2. 2

    ### I set up the right tools, safely

I recommend and configure tools that fit what you already use. For most teams that means **ChatGPT Business** or **Microsoft Copilot** inside Microsoft 365. Accounts and admin settings are set up properly from day one. If nothing may leave your building, there is a separate on-network option further down.

3. 3

    ### I train your team on their real work

No generic course. I train your people on their own tasks, with their own documents, in their own tools. Short, practical sessions, plus simple written guides your team can keep using after I leave.

4. 4

    ### I recommend monthly support

A monthly check-in after setup: answer questions, tune prompts and assistants, add new use cases, and keep an eye on new features and settings so you do not have to.

## What this can look like in real life

Each business is different. These are examples of the kind of work, not a package you pick from. The working session is where I find what actually fits yours.

### Law, accounting and professional services

- Summarize long email threads and documents into a short brief before a client call
- Draft client emails and follow-ups from meeting notes, in the firm's tone
- Explain a tax notice or a dense clause in plain language, as a starting point for a professional's reply
- Create a first draft of standard letters and engagement memos from the firm's own templates
- Ask questions across the firm's own document library instead of digging through folders

Confidentiality rules come first. These offices are often the ones where a business account, or a fully local setup, makes the most sense.

### Architects and design studios

- Build a first draft of a proposal or tender response from its own past proposals, project references and team bios
- Turn meeting recordings or notes into a clean list of decisions and action items
- Draft fee letters, project descriptions and planning statement boilerplate
- Search its own project archive in plain language ("which schools did we do with timber frames?")

All technical facts, code references and product names still get checked by an architect. AI drafts, people decide.

### Real estate

- Turn property notes and photos into a first draft of a listing description
- Draft follow-up messages to buyers and sellers after showings
- Summarize market notes into a short update for clients

### Trades and contractors

- Speak notes into a phone on site and get a tidy first draft of a quote or job description
- Draft polite follow-ups on quotes that went quiet
- Write "running late" texts, review requests and seasonal reminders to past customers
- Turn before-and-after job photos into social posts

Every price, quantity and scope line still gets checked by the person who knows the job.

### Restaurants and food brands

- Draft friendly replies to Google and Yelp reviews in the house voice, with a manager approving each one before it is posted
- Turn a list of ingredients into menu descriptions, seasonal specials and social captions
- Write first drafts of staff policies and checklists, then have them reviewed by an HR professional
- Compare menu prices against local competitors and delivery markups before a price update
- Turn health department and permit rules into step-by-step checklists
- Keep an eye on a catering inbox and flag urgent or early-morning orders

## A business account, not a personal chatbot

Most teams should start here. Staff stop pasting client work into free or personal accounts, and the company gets an account it actually controls.

### Personal accounts are the wrong place for client work

A free or personal login has no admin control, and the terms are the consumer terms. I move the team onto a business plan you own.

I mainly set up two:

### ChatGPT Business

OpenAI states that ChatGPT Business data is not used for training by default, is owned by the customer, and is encrypted at rest and in transit. The plan includes admin controls, MFA and SSO.

[openai.com/business-data (opens openai.com)](https://openai.com/business-data)

### Microsoft Copilot

Microsoft Copilot is covered by enterprise data protection. It respects existing permissions, sensitivity labels and retention, and prompts are not used to train foundation models.

This matters for client confidentiality in law, accounting and similar firms.

Google Workspace teams can use Gemini the same way.

### This is still the vendor's cloud

A business plan is not the same as keeping everything on your own computers. Your data is processed under the vendor's business terms. What you gain is admin control, and a commitment that it is not used to train their models. I check the current terms before setup and point you to the official pages. If nothing may leave your building, that is the next section, not this one.

### Your own files, without random uploads

Where it helps, I connect that business account to your documents so people are not pasting files into whatever chat window is open.

### A short rule for the team

Every setup includes a plain-language note on what is fine to share, what needs care, and what stays out. Your industry rules come first.

Vendor terms change. You get the official pages, not only my summary.

## When the model has to stay on your network

This is a different job from the business accounts above. **The model runs on hardware inside your own network.** Prompts and documents are not sent to OpenAI, Microsoft, or Google.

- ### Your data stays in-house.

Prompts and documents are processed on your own server, not sent to an outside AI provider. Set up correctly, nothing leaves your network.

- ### A private assistant on your own files.

Your team gets a simple chat interface that can answer questions from your documents, with logins and access limited to the right people.

- ### Locked down properly.

Local AI tools are not secure out of the box. I put them behind proper authentication, keep them off the public internet and limit who can reach them. Security is my daily work through WP Security Ninja, so this part gets the attention it needs.

### Be aware before you choose it.

This is a bigger step than a business plan from OpenAI or Microsoft:

- It needs suitable hardware, which is an upfront cost.
- Local models are capable, but usually not as strong as the largest cloud models for every task. I help you test them on your real work first.
- It needs **ongoing maintenance**: model updates, security updates, backups and monitoring. That is why the premium setup comes with a monthly support plan.

For many businesses, a well-configured business plan is the right answer. For some, especially those handling highly confidential client material, running AI locally is worth it. I will tell you straight which one fits.

## Who it's for

Small and mid-size businesses that want AI to save time without the hype or the risk:

- **Law firms:** first drafts, summaries, internal research and document search, with confidentiality first
- **Accountants and bookkeepers:** client emails, checklists, explaining numbers in plain language
- **Architects and designers:** project descriptions, proposals, meeting notes, code and spec lookups
- **Real estate:** listing descriptions, client follow-ups, market summaries
- **Trades and contractors:** quotes, job descriptions, customer messages, invoices and paperwork
- **Restaurants and food brands:** menus, supplier emails, staff schedules, social posts, recipe and allergen documents

Based in Hollywood, FL. Most of the work is remote, in English or Danish, including with businesses in Denmark. I come on-site across South Florida when being in the room helps. Dansk? Det går fint.

## The alternative to a generic AI course

A course teaches everyone the same prompts. Your team does not need the same prompts as everyone else. They need AI set up for **your** tools, **your** documents and **your** clients, and someone to show them how it fits into a normal Tuesday.

## What I will not sell you

I will not promise that AI will double your revenue or replace your staff. I will not push the most expensive tool if a cheaper one does the job. And I will not leave you with a login and a good luck. You get a small number of changes that work, set up properly, and a team that knows how to use them.

## Common questions

Do we need technical skills to get started?+

No. If your team can write an email, they can use these tools. I handle setup and explain everything in plain language.

Which AI tools do you recommend?+

It depends on what you already use. Microsoft 365 teams usually do best with Microsoft Copilot. Others often start with ChatGPT Business. Google Workspace teams can use Gemini. I am not tied to one vendor and I tell you straight if you do not need a paid tool at all.

Is our company data safe?+

On ChatGPT Business, OpenAI states that data is not used for training by default, is owned by the customer, and is encrypted at rest and in transit, with admin controls, MFA and SSO. Microsoft Copilot is covered by enterprise data protection, respects existing permissions, sensitivity labels and retention, and prompts are not used to train foundation models. This matters for client confidentiality in law, accounting and similar firms. It is still processed in the vendor's cloud. If nothing may leave your building, I run the model on your own network instead.

How is this different from an online AI course?+

This is a custom setup for your business. A course hands everyone the same prompts. I set the tools up around your documents, your clients, and the work your team already does.

How long does it take, and what does it cost?+

It depends on the size of your team and what we set up. A short call comes first, so you know the scope before anything else. I quote once I understand your situation, no fake flat packages.

Do you work outside South Florida?+

Yes. Most of the work is remote, in English or Danish, including Denmark. I come on-site across South Florida when that is the better way to see how the team works.
